DealerX overview and setup
Overview
DealerX is the dealer CRM inside AtomicX Chat. Sales reps track every customer as a Lead: who they are, which vehicle they want, any trade-in, where they are in the sales process and everything that happened along the way. Managers see totals per dealership on the Dashboard.
DealerX is granted per account by AtomicX. When it's on, a DealerX section appears in the menu with Dashboard, Leads, Contacts, Schedule, Activity, Reports, Insights, Search and Exports and sends (everyone) plus Dealerships, Sources, Lead assignment and DealerX settings (Owners and Admins). If you don't see it, contact support.
The labels follow what dealers already know: Dealership (a store), Lead (one customer you are working), Source (where the lead came from), Sales stage and Temperature.
Steps
1. Add your dealerships
- Go to DealerX → Dealerships and click Add dealership.
- Enter the Name, Address, Phone and Time zone.
- Under Business hours, keep Use the account default hours or untick it and set the hours per day.
- Click Save.
Every lead belongs to one dealership. See DealerX dealerships and sources.
2. Check your sources
DealerX → Sources is filled with the standard list (Walk-In, Phone, Referral, Website forms, Facebook Lead, CarGurus and more) the first time you open it. Add your own or deactivate the ones you don't use.
3. Set the account rules
- Go to DealerX → DealerX settings.
- Under Leads, decide whether reps must Require a note on every sales stage change (on by default) and after how many days an untouched lead is marked inactive (30 by default).
- Set the SMS signature, Email signature and the account Business hours.
- Click Save settings.
The AI sales assistant section controls the assistant; see DealerX AI sales assistant. Who gets new leads is set on DealerX → Lead assignment; see DealerX lead assignment.
4. Mark your sales reps
Sales reps are your normal AtomicX Chat users. Open Settings → Team management, click Edit on a team member and use the DealerX profile section to mark them as a Sales rep and choose their dealerships. See the "Sales reps" section below.
5. Connect texts, email and leads
- Add an SMS number under Chat → Channels (Twilio or Vonage), then pick it as the dealership's SMS number on DealerX → Dealerships. DealerX creates the DealerX assistant workflow for that number.
- Pick the dealership's Inventory knowledge base so the assistant can answer vehicle questions.
- Forward your lead inbox to the dealership's Lead inbox address, and give lead providers the Inbound lead URL. See DealerX e-leads.
- In DealerX settings, review the Greeting template, SMS compliance reply and Escalation notification.
Sales reps
Each team member can have a DealerX profile. Open Settings → Team management, click Edit next to the member and fill in the DealerX profile section (shown only when your account has DealerX). It is saved with Save Changes.
- Sales rep: the user can be assigned leads and appears in the rep pickers.
- Receives round robin: included in automatic assignment. See DealerX lead assignment.
- Dealerships: which stores the rep works at. None selected means every dealership.
- Notify by SMS / Notify by email: how the rep hears about new leads assigned to them and assistant escalations.
- Calendar employee: links the rep to a calendar so their appointments are written to it. See DealerX schedule and appointments.
A user without a profile is treated as a sales rep of every dealership.
Tips
- Create one dealership even if you have a single store; leads need one.
- The Inbound lead URL shown on a dealership is where lead providers post e-leads.
