DealerX lead assignment

Overview

New leads that nobody took (e-leads, inbound texts and emails, or a manager entering a walk-in) are assigned automatically. DealerX → Lead assignment (Owners and Admins) sets the rules and which reps take part. A lead a sales rep creates is always theirs.

The rules are tried in this order:

  1. The Fixed assignee of the lead's source.
  2. The Fixed assignee of the dealership.
  3. Round robin among the sales reps who Receive round robin and work at that dealership.

The rep gets a text or email "New lead #… assigned to you", as set in their DealerX profile.

Steps

Turn on round robin

  1. Go to DealerX → Lead assignment.
  2. Tick Round robin new leads to sales reps.
  3. Pick the Round robin mode:
    • Rotate (longest since last lead first): the rep who waited longest gets the next lead.
    • Fewest open leads: the rep with the fewest active, unsold leads gets it.
  4. Click Save.

Choose who takes part

In the Team table, set per person Sales rep, Receives round robin and Dealerships (none ticked means every dealership). Last assigned shows when they last got a lead. Click Save.

Calendar employees

When your plan includes Calendar, the Team table has a Calendar column showing whose calendar each rep uses. A rep is matched to the calendar employee picked in their DealerX profile, or else to the calendar employee with the same email. Appointments booked with that rep offer their free times.

People on the calendar who aren't on the team yet are listed under Calendar employees without a login. Click Invite to team to email them a sign-in link. They join as a sales rep who receives round robin, linked to their calendar.

Send a source or dealership to one person

  • On DealerX → Sources, edit a source and pick a Fixed assignee.
  • On DealerX → Dealerships, edit a dealership and pick a Fixed assignee.

Tips

  • Every assignment, automatic or by hand, is listed on DealerX activity with the reason.
  • Reassigning on the lead is always possible and is recorded as manual.
  • With round robin off and no fixed assignee, new leads stay Unassigned.
