DealerX lead page
Overview
The lead page is where a rep works a lead. The top card holds the sales stage, temperature, source, dealership and assigned rep. The main column has Vehicles, Trades, Communications (see DealerX communications) and Files; the right column has Appointments, Buyer details, Co-buyers, Tasks, Notes and the Stage history. A banner under the header shows the Next appointment.
Steps
Change the sales stage
- Click the stage button: New, Contacted, Appointment set, Negotiating, Sold, Delivered or Lost.
- In the Change stage to "…"? dialog, type a note. When your account has Require a note on every sales stage change turned on, Confirm stays disabled until you do.
- For Lost, also pick a Reason.
- Click Confirm. The change is added to the Stage history with your note, and the sold, delivered or lost date is recorded.
Temperature, source, dealership and rep
Change the Temperature, Source, Dealership or Assigned rep selects in the top card; they save at once. Rep changes are recorded in the account audit log. Interested in (wishlist) is free text for what the customer wants.
Vehicles and trades
- Vehicles: open Add vehicle, type at least a Description and click Add. The first vehicle becomes the Primary one shown on the list card; use Set primary to change it.
- Trades: click Add trade and fill in the year, make, model, mileage, condition and Appraised value. Appraisal opens a printable appraisal sheet with signature lines; click Print there.
Files
Click Upload to attach a file (10 MB at most; program files such as .exe are refused). Click a file name to download it, or Delete to remove it.
Buyer details, co-buyers, tasks and notes
- Buyer details: click Edit, change the contact and click Save.
- Co-buyers: search a contact, click Add and optionally give the relationship.
- Tasks: type a title, pick the kind and due time and click Add task. Tick a task to complete it.
- Notes: type and click Add note. Pin keeps a note at the top.
Appointments
Click New appointment in the Appointments card, pick the Kind, Starts, Length (minutes) and With, and click Save appointment. After it starts, mark it Showed or No-show; Cancel works on any open one. See DealerX schedule and appointments.
Bad leads, delete and restore
Mark bad lead moves the lead to the Bad leads quick filter; Delete moves it to Deleted. Both keep the record, and Restore brings it back to Active.
Tips
- Times on the page (notes, tasks, stage history, files) are shown in your first dealership's time zone, and task due times are entered in it.
- Return to leads list takes you back with the same filters you had.
- The AI sales assistant control sets how the assistant treats this customer; see DealerX AI sales assistant.
- An AI escalated banner means the assistant handed the customer to you; click Clear escalation when done.
