DealerX leads list

Overview

A Lead is one customer: the contact, the dealership they visited, the vehicle they want and where the deal stands. DealerX → Leads lists them as cards with the temperature, sales stage, phone, vehicle, source, assigned rep and when they were last updated. Every user can see the list.

Steps

Create a lead

  1. Click New lead.
  2. Under 1. Add contact for new lead, search for an existing customer by name, phone or email and click Use this contact, or fill in a first name, last name and a phone or email and click Use new contact. A phone or email you already have reuses that contact.
  3. Under 2. Lead, pick the Dealership and Source (Walk-In by default), and optionally type the Vehicle of interest and a Note.
  4. Click Create lead. The lead opens.

Find leads

  • The quick filters along the top (All, Active, Delivered, Lost, Inactive, Bad leads, Fresh, Needs reply, AI escalated, Unassigned, Deleted) show a count each. All hides deleted leads; Deleted shows only them.
  • The sidebar narrows the list by Search (name, phone, email, VIN, stock number or lead number), a date range by created, sold, delivered or lost date, Source, Sales stage, Temperature, Rep, Dealership and E-lead.
  • Sort by recently updated, newest, oldest or name. The page address changes with the filters, so you can bookmark or share a view.

Saved filters

Type a name under Saved filters and click Save to keep the current filters. Click a saved name to apply it, or Delete to remove it. Saved filters are yours only.

Bulk actions

Tick leads (or Select all on page) and use Targeted texts, Marketing emails or Update sales stage. Export downloads every lead matching the current filters as a CSV. See DealerX bulk actions and export.

Tips

  • Needs reply lists customers who wrote and are still waiting; AI escalated lists customers the assistant handed to a rep.
  • Fresh is a new lead nobody has worked yet; set the temperature on the lead once you have talked to the customer.
  • Leads with no activity for the number of days set in DealerX settings move to Inactive. Any change brings them back.
